Policies

Acknowledgement, Assumption of Risk, and Agreement to Policies

By registering for any programs, you confirm that you have read, understood, and agree to be bound by the Wallace Park Tennis Club Program & Lesson Policies, including all terms, conditions, rules, and requirements contained therein.

You acknowledge that participation in tennis programs, lessons, clinics, and related activities involves inherent risks, including but not limited to physical exertion, slips, falls, collisions, and other risks of injury. You voluntarily assume all risks associated with participation and agree to comply with all club policies, safety requirements, and instructions provided by club staff and coaches.

You understand and agree that failure to comply with club policies or safety requirements may result in removal from a program or activity without refund or credit.

For participants under the age of 18, a parent or legal guardian must complete registration on their behalf. The parent or legal guardian confirms that they have read, understood, and agree to be bound by the Wallace Park Tennis Club Program & Lesson Policies on behalf of the participant, and accept responsibility for the participant’s compliance with all policies, rules, and safety requirements.

By completing registration, you acknowledge and agree that this constitutes a legally binding agreement.

Clinics & Group Classes

1) Program Registration

  • Members may register on the posted registration date for each clinic or class.
  • Non-members may register after members have had a reasonable opportunity to do so. Non-members are subject to a surcharge included in the listed price. 
  • Registration closes 48 hours before a clinic or class start date.
  • If spots remain available after that time, members and non-members may still register by emailing [email protected].

2) Withdrawal and Refund

  • Withdrawals more than 7 days before the start date: full refund minus a 15% administrative fee
  • Withdrawals less than 7 days before the start date: no refund or credit will be issued.

3) Insufficient Registration 

  • The head pro reserves the right to cancel programs due to insufficient registration. 
  • Participants will receive either a full refund or a credit toward a future program.

4) Inclement weather 

  • Each 6 week session includes one scheduled rain make-up class.
  • Sessions with 5 or fewer weeks do not have a rain-up class in the schedule.
  • If 50% or more of a class is completed, it is considered completed.
  • If less than 50% of a class is completed, it will be considered a rain-out.
  • For more than one rain-out, a credit or refund (where applicable) will be issued for each additional missed class.

Classes will be cancelled for the following weather related issues:

  • Ongoing rain.
  • Rain has left the courts too wet to safely play.
  • Environment Canada has issued a Red Level Heat warning, or temperatures reach over 45° after humidity.
  • Environment Canada has issued an Air Quality Health Index score above a 7.

5) Class cancellation due to unforeseen circumstances 

  • A club credit or refund will be issued for the value of the affected classes.

6) Illness or injury 

  • If you are unable to attend a class due to injury or illness, a make-up class may be possible if the same class is offered at another time and space is available.

7) Proper Attire & Equipment

  • All participants must bring a tennis racquet to each session. The club has a limited number of racquets available for temporary use; however, availability is not guaranteed.
  • All participants must wear appropriate tennis attire and proper athletic footwear while on court. Running shoes or tennis shoes with non-marking soles are required. Footwear such as boots, sandals, Crocs, flip-flops, or any open-toed or non-athletic shoes are not permitted.
  • Participants who do not have appropriate footwear may not be permitted to participate in the session due to safety and liability considerations. No refunds, credits, or make-up classes will be provided in these circumstances.

8) Parent/Guardian Viewing Policy

  • For the safety and focus of all participants, parents and guardians are not permitted on the tennis courts during lessons, clinics, or camps. All spectators must remain in the designated viewing area for the duration of the session. Coaches and staff reserve the right to pause or stop a lesson if this policy is not respected.

Summer Camps

1) Program Registration

  • Members and non-members can register on the listed registration date.
  • Non-members are subject to a surcharge included in the listed price.
  • Registration closes at midnight on the Friday before the camp begins.
  • If space remains available, members and non-members may still register by emailing [email protected].

2) Withdrawal and Refund

  • Withdrawals more than 7 days before the camp start date: full refund minus a 15% administrative fee.
  • Withdrawals less than 7 days before the start date: no refund or credit will be issued.

3) Insufficient Registration

  • Participants will receive either a full refund or a credit toward a future program.

  • For each rain-out day, participants may choose one of the following:
    • A refund
    • A credit toward future lessons or camps
    • A make-up day during another camp week that summer (if space allows).

  • If a participant misses a day due to illness or injury, they may attend another day in a future camp week if space allows.

Private Lessons

1) Cancellations by Members

  • If cancelled within 24 hours, the full lesson fee will be charged

2) Weather Policy 

  • If 0–14 minutes of the lesson are completed before conditions become unplayable, no fee will be charged.
  • If 15–29 minutes are completed, 50% of the fee will be charged.
  • If 30 minutes or more are completed, the full fee will be charged.

Photography & Video Recording

From time to time, Wallace Park Tennis Club and Forge Tennis Academy may photograph or record video during lessons, clinics, camps, private lessons, tournaments, and other club activities for promotional, educational, and marketing purposes. By registering for and participating in club programming, participants (or a parent/legal guardian for participants under 18 years of age) consent to the use of their image, likeness, voice, and recorded performance in photographs, videos, and other media for use in print, on the club's website, social media platforms, advertising, promotional materials, and other communications without compensation.

Participants who do not wish to appear in photographs or videos must notify the Head Pro in writing prior to the start of the program. While reasonable efforts will be made to accommodate such requests, Wallace Park Tennis Club and Forge Tennis Academy cannot guarantee that participants will not appear incidentally in background images or recordings taken during group activities.
